MediaTrend Pro (“MediaTrend Pro,” “we,” “us,” or “our”) respects your privacy and is committed to handling Personal Information responsibly.
This Privacy Policy explains how we collect, use, disclose, retain, and protect Personal Information when you:
Visit the MediaTrend Pro website;
Request information, schedule a demo, contact us, or purchase our services;
Create, access, or use a MediaTrend Pro account;
Use the Smart Front Desk System, including communication, scheduling, AI Receptionist, review-management, and support features;
Call or otherwise interact with a MediaTrend Pro live AI demo; or
Otherwise communicate with us.
This Privacy Policy does not replace the privacy policy of a MediaTrend Pro Client. When you interact with one of our Clients through their phone number, website, booking page, messages, chat, social-media inbox, AI Receptionist, or other Client-operated feature, that Client’s privacy notice and practices generally control how that Client collects and uses your information.
For purposes of this Privacy Policy:
“Authorized User” means a Client’s owner, employee, contractor, agent, or other person authorized to access the Services on the Client’s behalf.
“Client” means a business, organization, or individual that purchases or uses MediaTrend Pro services.
“Client Data” means information that a Client, its Authorized Users, or its contacts submit to, store in, send through, or otherwise process through the Services.
“Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked to an individual or household.
“Services” means the MediaTrend Pro website, Smart Front Desk System, customer accounts, AI Receptionist features, communication tools, booking and scheduling tools, support services, demos, and related services.
“You” means a website visitor, prospect, Client, Authorized User, Client contact, or other person whose information is covered by this Privacy Policy.
MediaTrend Pro handles information in different roles depending on the relationship.
When you visit our website, request a demo, contact us, create an account, purchase Services, or otherwise communicate directly with MediaTrend Pro, we generally control how that Personal Information is collected and used.
Clients may use the Services to collect, organize, and communicate with their own leads, customers, callers, website visitors, employees, and other contacts.
For Client Data, the Client generally controls the information and is responsible for:
Determining what information it collects;
Providing required privacy notices;
Obtaining required permissions and consents;
Managing communication preferences and opt-outs;
Responding to privacy requests from its contacts where required by law; and
Ensuring that its use of the Services complies with applicable law.
MediaTrend Pro generally processes Client Data on behalf of, and according to the instructions of, the applicable Client in order to provide, secure, support, and maintain the Services.
If you are a lead, customer, caller, or contact of one of our Clients, please direct your privacy request to that Client first.
We may collect the following categories of Personal Information.
This may include:
Name;
Business name;
Email address;
Phone number;
Mailing or business address;
Job title or business role;
Account login information;
Information provided through forms, demo requests, support requests, surveys, or communications;
Information shared during onboarding, configuration, training, or support;
Billing and transaction information;
Communications with MediaTrend Pro, including emails, chats, messages, and support records; and
Any other information you choose to provide.
Clients and their Authorized Users may submit or collect Client Data through the Services, including:
Names, phone numbers, email addresses, and mailing addresses;
Communication history;
Call details, call recordings, voicemails, transcripts, and call metadata, where enabled;
SMS messages, emails, web-chat messages, social-media messages, and other communications;
Appointment details, booking information, reminders, and scheduling records;
CRM records, notes, tags, custom fields, and lead information;
Reviews, review requests, and review responses;
Information collected through forms, surveys, calendars, landing pages, chat widgets, or integrations;
AI Receptionist prompts, conversation context, knowledge-base materials, and interaction records; and
Other information a Client chooses to collect or store through the Services.
If you call a MediaTrend Pro phone number, interact with a live AI demo, communicate with an AI Receptionist, use a microphone-enabled feature, or communicate with a Client through the Services, we or the applicable Client may process:
Audio or voice data;
Call recordings, where enabled;
Call transcripts;
Call date, time, duration, source, and destination;
Telephone number;
Messages and responses;
Appointment requests;
Information you voluntarily provide during the interaction; and
AI-generated responses, summaries, and interaction records.
Before MediaTrend Pro records or transcribes a live AI demo call, we provide notice that the call is handled by artificial intelligence and may be recorded and transcribed. If you continue after that notice, we may record and transcribe the call to the extent permitted by applicable law.
MediaTrend Pro may record, transcribe, monitor, analyze, and retain its own live AI demo calls and other MediaTrend Pro interactions that include a recording or transcription notice for quality assurance, training, security, troubleshooting, fraud prevention, product improvement, dispute resolution, legal compliance, and other legitimate business purposes.
When you visit our website or use the Services, we may automatically collect:
Internet Protocol address;
Browser type and version;
Device type;
Operating system;
Device identifiers;
Log-in and log-out activity;
Pages or features accessed;
Dates, times, and duration of activity;
Referring websites or sources;
Error reports and diagnostic information;
Cookie and similar-technology information; and
General location information inferred from your IP address.
Payments for MediaTrend Pro Services are processed through Stripe.
We do not intend to store full payment-card numbers on our own systems. We may receive limited billing and transaction information, such as billing contact details, payment status, subscription status, payment method type, transaction identifiers, and charge history.
We may receive Personal Information from:
Payment processors;
Referral partners and affiliates;
Communications providers;
Social-media and messaging platforms connected by a Client;
Calendar, scheduling, and integration providers enabled by a Client;
Security, authentication, and fraud-prevention providers;
Analytics providers, where enabled; and
Service providers that help us operate, support, secure, or improve the Services.
We may use Personal Information to:
Provide, maintain, secure, and improve the Services;
Create and manage accounts;
Process payments, subscriptions, and billing;
Configure Client accounts and provide onboarding;
Provide technical support and respond to requests;
Operate communications, scheduling, review-management, and AI Receptionist features;
Authenticate users and manage account access;
Monitor performance and troubleshoot technical issues;
Prevent fraud, abuse, security incidents, and unauthorized activity;
Analyze service usage and improve the Services;
Send transactional, billing, administrative, support, security, and service-related communications;
Send marketing communications where permitted by law and subject to your communication preferences;
Measure website traffic and general website engagement;
Comply with legal obligations;
Enforce our agreements; and
Protect the rights, safety, property, and security of MediaTrend Pro, Clients, users, and others.
We may create and use aggregated or de-identified information that does not reasonably identify you or a Client.
The Services may include artificial-intelligence-assisted features, including AI Receptionist tools that may answer calls, respond to messages, capture inquiry information, summarize conversations, provide information based on Client-provided materials, and help schedule appointments.
When AI features are enabled, relevant inputs, instructions, and interaction data may be processed by MediaTrend Pro, the underlying platform provider, communications providers, and AI service providers as necessary to provide, secure, support, maintain, and improve the Services.
AI-generated content may be inaccurate, incomplete, outdated, or unsuitable for a particular situation. Clients remain responsible for reviewing and supervising their AI configurations, business information, training materials, escalation rules, automated messages, and business processes.
The Services are not intended to be used as a substitute for legal, medical, financial, mental-health, emergency, or other professional advice.
The Services are not offered for use by healthcare providers, law firms, or other businesses that need to collect, store, transmit, or process protected health information, privileged legal information, or other sensitive or regulated information.
Unless MediaTrend Pro expressly agrees otherwise in a separate written agreement signed by MediaTrend Pro, Clients must not use the Services to collect, store, transmit, or process:
Protected health information regulated by HIPAA;
Payment-card information, bank-account information, or other financial-account information, except through an authorized payment processor or feature expressly designed for that purpose;
Social Security numbers, government-issued identification numbers, passport numbers, driver’s-license numbers, or similar highly sensitive identifiers;
Information subject to heightened legal, regulatory, contractual, or industry-specific security obligations; or
Information that the Client is not legally authorized to collect, use, disclose, or provide.
MediaTrend Pro does not enter into a Business Associate Agreement, payment-card processing agreement, or other specialized data-processing agreement unless it expressly agrees in a separate written agreement signed by MediaTrend Pro.
We may disclose Personal Information to the following categories of recipients.
Client Data may be available to the applicable Client and its Authorized Users, employees, contractors, administrators, or representatives.
We may disclose information to providers that help us operate the Services, including providers of:
Core software and cloud infrastructure;
Communications, voice, SMS, email, and messaging delivery;
Artificial-intelligence functionality;
Payment processing;
Customer support;
Scheduling and calendar services;
Authentication and security;
Website hosting, analytics, and performance monitoring;
Data storage and backup;
Professional services; and
Business operations.
These providers may process Personal Information only as reasonably necessary to provide services to us or the applicable Client, comply with legal requirements, protect the Services, or enforce our agreements.
If a Client connects third-party applications, calendars, social-media accounts, payment processors, messaging platforms, or other integrations, information may be shared with those providers according to the Client’s settings and the applicable provider’s privacy policy.
Where applicable, we may disclose limited information to a referral partner or affiliate to confirm that a referral resulted in an account, subscription, or commission-eligible transaction.
We do not disclose Client Data to referral partners or affiliates for that purpose.
We may disclose Personal Information when we reasonably believe disclosure is necessary to:
Comply with law, regulation, subpoena, court order, or government request;
Enforce our agreements;
Prevent fraud, abuse, security threats, or unlawful activity;
Protect the rights, property, safety, and security of MediaTrend Pro, Clients, users, or the public; or
Establish, exercise, or defend legal claims.
If MediaTrend Pro is involved in a merger, acquisition, financing, sale of assets, bankruptcy, reorganization, or similar transaction, Personal Information may be disclosed or transferred as part of that transaction, subject to applicable law.
MediaTrend Pro may use cookies, local storage, tags, web beacons, and similar technologies to operate, secure, analyze, and improve our website and Services.
These technologies may be used for purposes such as:
Maintaining website and account functionality;
Remembering preferences;
Supporting forms, booking pages, chat features, and account access;
Detecting and preventing fraud, abuse, and security issues;
Troubleshooting technical problems; and
Understanding website and Service performance.
We may use analytics tools provided by us, our underlying platform providers, or third-party service providers, including Google Analytics or similar services, where enabled. These tools may collect information such as IP address, browser and device information, pages visited, referring sources, dates and times of visits, and general location information inferred from IP address.
You may control cookies through your browser settings. Blocking certain cookies may affect the availability or functionality of some parts of the website or Services.
MediaTrend Pro does not currently use advertising, retargeting, or cross-context behavioral advertising pixels on its website.
MediaTrend Pro may add advertising, remarketing, or advertising-measurement technologies in the future, including technologies offered by Google, Meta, or other providers.
Before using those technologies in a manner that requires additional notice, consent, or opt-out rights under applicable law, we will update this Privacy Policy and implement the applicable privacy notices, consent tools, and opt-out mechanisms.
MediaTrend Pro does not sell Client Data or Personal Information for money.
You may opt out of promotional email communications by using the unsubscribe link included in the email.
You may opt out of certain SMS marketing communications by replying “STOP,” where that option is available and supported.
Opting out of promotional communications will not prevent us from sending transactional, billing, security, legal, account, or other non-promotional communications.
If you receive communications from one of our Clients through the Services, please follow that Client’s opt-out instructions or contact that Client directly.
We retain Personal Information for as long as reasonably necessary to:
Provide and maintain the Services;
Operate accounts and subscriptions;
Fulfill contractual obligations;
Maintain business, accounting, tax, and billing records;
Resolve disputes;
Prevent fraud and security incidents;
Comply with legal obligations;
Maintain backup systems; and
Enforce our agreements.
MediaTrend Pro generally retains recordings and transcripts of its own live AI demo calls for up to twenty-four (24) months from the date of the interaction.
After that period, we may delete or de-identify the recording or transcript when reasonably practicable. We may retain it longer where reasonably necessary to address a dispute, investigate fraud or a security incident, comply with law, preserve evidence, enforce our agreements, or protect the rights, safety, or security of MediaTrend Pro, its users, or others.
This retention period applies to MediaTrend Pro’s own live AI demo calls and does not establish the retention period for calls, messages, recordings, or transcripts processed through a Client’s account.
Clients are responsible for exporting or downloading Client Data they wish to retain before cancellation becomes effective.
Once cancellation becomes effective, the Client and its Authorized Users may lose access to the Services and Client Data.
Where technically available, MediaTrend Pro may allow a Client to reactivate an account or request available Client Data for up to twenty-four (24) hours after cancellation becomes effective.
After that period, MediaTrend Pro has no obligation to restore access, export Client Data, reactivate the account, or make Client Data available.
MediaTrend Pro may delete, schedule for deletion, or instruct Third-Party Services to delete Client Data and account information after that period, subject to applicable law, technical limitations, backup systems, legal obligations, fraud-prevention needs, and Third-Party Service policies.
We use reasonable administrative, technical, and organizational safeguards designed to protect Personal Information from unauthorized access, loss, misuse, alteration, or disclosure.
However, no method of transmitting information over the internet or storing information electronically is completely secure. You are responsible for using strong passwords, protecting account credentials, and limiting access to authorized users.
MediaTrend Pro is based in the United States. Personal Information may be processed, stored, or transferred in the United States or other countries where we or our service providers operate.
Those countries may have privacy laws that differ from the laws in your location.
Depending on where you live and applicable law, you may have the right to:
Request access to Personal Information we hold about you;
Request correction of inaccurate Personal Information;
Request deletion of Personal Information;
Request information about how we collect, use, and disclose Personal Information;
Opt out of certain marketing communications;
Appeal a denied privacy request, where required by law; and
Exercise other rights available under applicable privacy laws.

If your information was collected by or on behalf of a MediaTrend Pro Client, please contact that Client directly. We may forward your request to the Client or assist the Client in responding where appropriate.
Where permitted by law, you may designate an authorized agent to submit a privacy request on your behalf. We may require proof of authorization and identity verification before processing the request.
If applicable law gives you the right to appeal a privacy-request decision, you may submit an appeal by replying to our decision or by emailing [email protected] with the subject line “Privacy Request Appeal.”
This section applies to California residents to the extent the California Consumer Privacy Act, as amended, applies to MediaTrend Pro’s processing of Personal Information.
During the preceding twelve months, we may have collected:
Identifiers, such as name, email address, phone number, IP address, account credentials, and online identifiers;
Professional or employment-related information, such as business name, title, and role;
Commercial information, such as subscription, billing, payment-status, and transaction records;
Internet or network activity, such as browser activity, device information, log information, cookie data, and usage data;
Audio, electronic, or similar information, such as call recordings, voicemails, transcripts, messages, and support records;
General geolocation information derived from IP address; and
Inferences drawn from collected information to improve Service functionality, configure a Client account, or measure general website engagement.
We collect this information from you, Clients, Authorized Users, automated technologies, service providers, integrations, communications providers, payment processors, referral sources, and other sources described in this Privacy Policy.
We use and disclose this information for the business and commercial purposes described in this Privacy Policy.
Subject to applicable law, California residents may have the right to:
Know what Personal Information we collect, use, disclose, sell, or share;
Request access to specific pieces of Personal Information;
Request correction of inaccurate Personal Information;
Request deletion of Personal Information;
Opt out of the sale or sharing of Personal Information where applicable;
Limit certain uses of Sensitive Personal Information where applicable; and
Receive equal service and pricing even if they exercise their privacy rights.
MediaTrend Pro does not sell Client Data or Personal Information for money.
If MediaTrend Pro later uses advertising or remarketing technology in a way that constitutes a sale or sharing of Personal Information under applicable law, we will update this Privacy Policy and provide any required notice and opt-out method before doing so.
The Services are intended for business use and are not directed to children under the age of 13.
We do not knowingly collect Personal Information from children under 13. If you believe a child has provided Personal Information to us without appropriate consent, contact us at [email protected].
The Services may include links to third-party websites, platforms, social-media pages, payment processors, integrations, or other services.
MediaTrend Pro does not control the privacy practices of those third parties. We encourage you to review their privacy policies before providing information to them.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, Services, legal requirements, or business operations.
When we make changes, we will update the Effective Date and Last Updated date at the top of this Privacy Policy. If changes are material, we may provide additional notice through the website, Services, email, or another reasonable method.
